Privacy Policy for The Unbiased Birth Club

Last Updated: July 2026

At The Unbiased Birth Club, we are committed to protecting and respecting your privacy. This policy explains when, why, and how we collect personal information about people who visit our website, join our waiting list or register for our antenatal courses. It also details how we keep your data secure and outlines your legal rights under UK Data Protection legislation (including the UK GDPR and the Data Protection Act 2018)

We act as the “Data Controller” for the personal information you provide. If you have any questions regarding this policy, please contact us at priyanka@unbiasedbirth.co.uk

1. The Information We Collect & Why We Need It

We collect and process personal data within the legal frameworks outlined by the UK GDPR to provide you with high-quality, tailored antenatal education and community support.

Data Type What We Collect Our Legal Basis for Processing
Personal & Contact Data Names, emails, phone numbers, and emergency contact details. Contractual Necessity: We need this to manage your booking, fulfil your order, communicate class details and run classes safely.

Legitimate Interests: Required to send any waiting list or marketing offer that you have actively requested and to set up our opt-in community WhatsApp group.

Special Category (Health) Data Details regarding your pregnancy, your broad estimated due date, your intended birth location and any other information, conditions or dietary requirements. Explicit Consent: We collect this solely to tailor the course safely to your needs. Because health data requires stricter protection under Article 9 of the UK GDPR, we process this only when you explicitly opt-in by submitting this optional information in our registration form.
Financial Data Payment information processed during checkout. Contractual Necessity: To complete your course transaction. Note: We never store your card details on our servers; payments are handled via secure, third-party processors.

Legal Obligation: We are legally required to keep financial transactions for tax reporting and HMRC compliance.

Technical Data IP address, browser type, geographic location and how you interact with our website. Legitimate Interests: To analyse website metrics, monitor security and continuously improve our online user experience.

2. How We Use Your Information

We will only use your personal data when the law allows us to. We use your information strictly to:

  • To administer your course registration and payment
  • To tailor your learning experience
  • To communicate with you
  • To ensure safety during our in-person socials (e.g. managing dietary requirements or physical accommodations)
  • To send promotional updates if you have chosen to opt-in. You can withdraw consent from these at any time by emailing priyanka@unbiasedbirth.co.uk

3. Sharing Your Data

We treat your data with strict confidentiality. We will never sell, rent or trade your information to third parties, nor share it with third parties for marketing purposes.

We only share your information with trusted service providers essential to running our business, including:

  • Our secure website and booking platform
  • Our secure email communication systems
  • Our secure third-party payment gateways
  • With your permission: If you opt into a WhatsApp group with your local Chelmsford cohort, your name and phone number will be visible to other members of that specific group.

4. How Long We Keep Your Data

We only hold your personal data for as long as necessary. For administrative and tax purposes (such as financial accounting), we retain transactional records for up to 6 years. For your health-related data (due dates and preferences), we securely delete or anonymize this data 6 months after your estimated due date month, unless you explicitly request to stay on a mailing list for postnatal updates.

5. Your Rights Under UK GDPR

Under data protection laws, you have rights we want to make sure you are fully aware of. You can exercise any of these rights at any time by emailing us at priyanka@unbiasedbirth.co.uk and we will respond to you as soon as possible. You have the right to:

    • Access: Request a digital copy of the personal data we hold about you.
    • Correction: Ask us to change or update any inaccurate or incomplete information.
    • Erasure (The Right to be Forgotten): Ask us to delete your personal data from our systems.
  • Restrict: Object to us processing your data for direct marketing or restrict how we handle it
  • Withdraw Consent: Where we rely on your consent to process your data, you can withdraw that consent at any absolute time by emailing us.

6. Security & Safeguards

We take security seriously. All confidential data collected through our online registration forms is encrypted and stored on secure, password-protected cloud systems with limited access.

7. How to Complain

If you have any concerns about our use of your personal information, you can make a formal complaint to us at priyanka@unbiasedbirth.co.uk and we will do our best to resolve your complaint as quickly as possible.
